THE ORGANISATION GUIDE
Insight is the beginning.
Development is the next step.
A practical guide for school leaders, learning and development teams and coaches using OTO Assess.
Organisation workspaceLaunch with a clear purpose
- Agree the development question you want to explore. Choose Teacher, Leadership or both for the relevant people.
- Create your schools, departments and role groups before inviting staff. Grouping is optional; consistent names make comparisons easier.
- Tell participants who can view their report, how it will be used and who will support their follow-up. Use development language rather than pass or fail.
- Ask staff to allow around 60 minutes in a quiet setting. Answers lock when saved. Saved progress survives sign-out or connection loss; 60 minutes is guidance, not a cut-off.
- Invite a small pilot group first. Check access, completion, report availability and the coaching conversation before expanding.
Read the group picture carefully
- Use separate Teacher and Leadership views. Filter by school, department or role and check the number of completed people before drawing conclusions.
- The OTO Teacher Lens or OTO Leadership Lens shows scenario-answer alignment with the authored framework. It does not show grades, demonstrated performance or population percentiles.
- Look at the middle-half spread as well as the average. A wider spread can indicate different development needs within the same team.
- Teacher department data appears from three compatible completed people. Three or four people provide an early picture; one response can noticeably move it. Leadership and organisation-wide profiles require five.
- Previous comparisons need five matched people with compatible forms. Compare the same people and interpret differences alongside practice evidence. The forms are not calibrated to prove improvement.
- Insights refresh on page load or filter changes. Current People grouping and completion-time report grouping can differ if someone has moved teams.
Turn a report into a useful conversation
- Begin with a strength the person recognises. Ask for a real example and invite them to challenge interpretations that do not fit their context.
- Choose one of the two areas to explore. Ask what makes the relevant decision difficult and which other explanation could account for the response.
- For teachers, examine a lesson sequence, pupil explanations or work samples. Agree a teaching experiment and what classroom evidence you will review.
- For leaders, examine an actual decision, delegation or stakeholder conversation. Agree a leadership experiment and what a decision record or follow-up would show.
- Write down the action, support person, evidence and review point. Use short-term, mid-term and long-term goals where helpful.
- Repeat an assessment when there is a meaningful reason to reflect again. Use it alongside evidence of practice, rather than as the sole measure of progress.
Agree access and responsible use
- Authorised organisation report administrators can view the organisation-assigned reports covered by their permissions. Onboarding and report viewing are separate permissions.
- Explain that reports contain a personalised narrative generated using selected assessment evidence. Check the privacy notice and your organisation’s participant communication before launch.
- A three-person aggregate is not anonymous simply because names are absent. Handle small-team discussions sensitively and avoid inferring an individual’s result by comparing filters.
- Keep reports within the agreed development process. Do not use group averages to rank staff or make recruitment, promotion or disciplinary decisions.
- Agree who owns the follow-up plan and how it will be retained. Use your approved staff development process; do not imply that OTO Assess already stores coaching plans.
- OTO Careers can be a later, participant-led development step. An organisation invitation does not create Careers access or automatically share reports into a career account.
A launch message you can adapt
We are using OTO Assess to support professional reflection and development. You have been assigned the [Teacher / Leadership] Development Assessment. Please allow around 60 minutes. Your report will be available to you and our authorised organisation report administrators. We will use it to inform a supportive development conversation, alongside your experience and evidence of practice. It is not a pass-or-fail assessment. Your follow-up contact is [name / role]. Please contact [support contact] if you need help or an accessibility adjustment before beginning.
